Position Title: Principal Administrative Assistant

Department:  Education/Ldrshp/Pblc Srs Schl

Term of Assignment: Grant term

Term End Date, If Applicable:    10/30/2026         

FLSA Status:  Non-exempt = overtime eligible

Work Schedule: Position is a .50 full-time equivalent (FTE) and the schedule will be arranged with supervisor; evening and weekend work required based on department programming; summers, December and January are busier times of operation.

Salary: $15.85

Travel: No travel

Brief Statement of Duties

Brief Statement of Duties: Provide direct administrative support for the Director of the Upward Bound Math Science program. Duties include maintaining Blumen by entering student applications and data to create reports for tracking students. Responsible for obtaining transcripts and other required documents to verify student eligibility and ensure compliance with specific grant criteria. Assist with the annual performance report that tracks Upward Bound Math Science participants to meet TRIO grant guidelines. Other tasks include tracking student homework and event participation and paying stipends accordingly, supervising and training staff, payroll processing, compliance with Minors on Campus policy, purchasing supplies, placing orders for teaching staff, budget reporting, maintaining physical and digital records for student files, reserving classrooms, transportation, and summer programming logistics.

Minimum Qualifications

Required Education: High School Graduation or Equivalent

Required Minimum Work Experience:  Three years of progressive office work experience.

Knowledge, Skills, Abilities, or Attributes Required for Satisfactory Performance of the Position Duties: 

Knowledge of administrative and clerical procedures and systems such as word processing, file and records management, designing forms, creating reports, email, calendar, internet, and web-based applications.
Ability to use spreadsheets, accurately enter data, and maintain databases.
Ability to accurately track student participation and program activities for grant reporting purposes.
Ability to manage, reconcile, and distribute Petty Cash.
Excellent oral and written communication skills.
Ability to effectively and efficiently handle a variety of office processes or procedures with minimal supervision.
Excellent time management, organization, and prioritization skills to accomplish tasks.
Ability to handle emotionally charged situations while maintaining a positive, congenial attitude.
Ability to interact with diverse groups of students, staff, and outside constituents in a manner that positively reflects upon the department and university.
Ability to work weekends and evenings for department programs.

Additional Desirable Qualifications

Additional Desirable Qualifications: 

Knowledge of university procedures and terminology.
Ability to develop and maintain constructive working relationships within the department, university, and external constituencies.
Experience working through a full trio grant cycle.
Extensive knowledge of TRIO Grant programs and initiative.
Understanding of TRIO Grant guidelines and outcomes.
Experience supporting grant-funded initiatives.
Experience coordinating logistics for student workshops, summer youth camps and other events.
Experience working with budgets and making recommendations on budgeting decisions.
